Requesting immigration application notes

An access request can obtain portions of an IRCC or CBSA file, including forms, correspondence and officer notes. It does not reopen a decision, pause a deadline or guarantee disclosure of protected information.

Choose the right institution and law

Request IRCC processing records from IRCC and enforcement or border records from CBSA. Access to Information Act requests have eligibility and fee rules; Privacy Act requests differ.

Specify application numbers, dates and record types to reduce ambiguity.

Provide valid consent

A requester seeking another adult’s personal information needs current signed consent in the accepted format. Family relationship or representative status does not automatically remove that requirement.

List accompanying family members whose information is needed.

Expect lawful redactions

Security, law-enforcement, third-party and internal information may be withheld under statutory exemptions. Codes and blank sections do not always mean the file was never assessed.

The notes reflect the date extracted and can be incomplete during live processing.

Do not wait past remedy deadlines

Court, appeal, fairness and restoration periods continue while an access request is pending. File protective proceedings where necessary and supplement the analysis when notes arrive.

Compare notes with the actual submitted package rather than reading isolated abbreviations as a final legal conclusion.

No. Access requests do not stop appeal or judicial-review time limits.
